What Time Are You Leaving the Office Today?

Posted 19 September 2016 by Stacey Papp

Time studies. What was once thought to be a buzzword of the early 2000’s has become a permanent fixture in businesses of all sizes. While not everyone has the money or time (get it?!?) to invest in one of these studies, they can be pretty eye-opening, especially to those whose business concerns center around productivity – and not missing another family dinner.

Spending time learning about how you spend your time doesn’t have to cost you much. You can do a simple, quick exercise that is can be just as effective. Carve out 10 minutes of your day to sit at your desk with no interruptions…which is often a challenge, we get it. Pull out a piece of paper and a pen and draw a vertical line, dividing the paper into two columns. In the left column, jot down all the tasks you do throughout the day. In the right column, estimate how much time each task takes you. Finally, add up all the time you wrote down, write it in big, bold handwriting and circle it. We bet it’s more than 8 hours, right? No wonder getting out of the office at a reasonable time is hard.

If a few of your tasks on your list include approving time sheets, tallying up overtime hours, creating driver schedules for the next day and matching the checks received to past invoices, you are in good company with the thousands of small business owners across the U.S. While these tasks are often time sucks, they are necessary to your business’s survival.

So what’s the good news here? GPS vehicle tracking solutions. That’s right, you heard correctly. There are several web-based telematics solutions out there who can help substantially reduce paperwork, remove the need for manual time sheets and eliminate the need for computer printouts of drivers’ schedules for any given day. Even better, it can also make the administrative tasks you dread doing (see your self-made time study for reference as a kind reminder) more accurate. Reducing the amount of administrative work will make both the admin and managerial staff beam with excitement as they no longer have to chase drivers for job-related info, invoice records and timesheets.

Telematics solutions can also help streamline the invoicing process (score!) by allowing you to quickly and easily monitor the frequency and duration of customer visits which also helps to reduce invoicing disputes and questions. In a nutshell, a GPS vehicle tracking system has the potential to give you back some of those hours you lost to admin tasks each week. Now, take those hours you just got back and hit up the golf course, head out to dinner or read your kids a bed time story. That’s what we call time well spent!
